Getting Started

Why Do you need to use Blackbaud Sphere® to send your emails to your members?

Many of our units ask the question, why can't I just send our members emails from my Outlook, Gmail, Hotmail, etc. account? The answer is three-fold:

  • TECHNICAL REASON:
    Outlook - Outlook is not equipped to handle a large number of emails going out all at the same time, it just wasn't made for that. As a result everybody's emails and internet access is slowed down because of all of the unexpected traffic on the system. If you are using a hadassah.org email account through Outlook, you are not allowed to use it to send mass emails.
    Internet Email (Gmail, Hotmail, Yahoo, etc) - The Terms of Service agreements that you agreed to when you signed up for them do not allow you to send mass emails. While you might have gotten away with it up until now, they could one day simply shut down your account and deny your access. (This is basically for the same reasons that we don't allow it through Outlook.
  • SPAM REASON:
    As per the CAN-SPAM Act passed in 2003 you need to identify yourself accurately and fully, provide an efficient and immediate remedy to opt-out requests and you need to be able match your domain, IP and identity. Blackbaud Sphere® does all of this automatically for you, taking a large burden off of you. Given our non-profit status we are required to comply with CAN-SPAM or you could be putting your non-profit status at risk.
  • BEST PRACTICES:
    The proper way to send out mass emails to an email list is by using an email marketing system (such as Blackbaud Sphere®). It allows you to send individual emails to everybody on your list, keeping everyone's information nice and secure. When you use the BCC field in a group it hides the emails, but it is not secure.
